Purpose of Processing
We process your personal data for the following purposes:

Creation of a candidate profile for our candidate database
Identification and assessment of potential candidates for recruitment assignments carried out for our clients
Recording, transcription and summarisation of interviews and meetings

Presentation of candidate information to the client for whom an assignment is carried out

Categories of Personal Data
We process the following categories of personal data about you:
General personal data, which mainly includes:
Contact details, including name, address, phone number, email address
Date of birth
Information regarding education and professional experience
Payment details
Information about current and previous employers, positions and periods of employment
Salary expectations and notice period
Notes, recordings, transcripts and summaries from interviews and meetings
Statements from references
Other personal data you may have voluntarily provided to us
We do not seek to collect special categories of personal data as defined in Article 9 of the GDPR, such as information about health, trade union membership, religion, ethnic origin or political opinions. If such information is nevertheless mentioned, we remove it and do not record it in our systems.

We obtain personal data from the following sources:
Directly from you
From publicly available sources, including professional networking sites, company websites and public registers
From the client for whom a recruitment assignment is carried out
From references you have named
Legal Basis for Processing
The legal basis for our processing of your personal data is based on:
Article 6(1)(a) of the GDPR (consent)
Legal basis for cookies requiring consent under the Cookie Regulation
Article 6(1)(b) of the GDPR (contractual obligations)
Legal basis for processing personal data in connection with performing a task for our customers
Article 6(1)(f) of the GDPR (legitimate interests)
Legal basis for sending offers to potential customers, as we have a legitimate interest in developing and expanding our business
Legal basis for handling other inquiries, as we have a legitimate interest in addressing inquiries from potential customers and candidates (for our database)
Legal basis for identifying, assessing and storing candidate profiles in our candidate database, as we have a legitimate interest in maintaining an overview of relevant candidates in order to carry out recruitment assignments for our clients
Legal basis for obtaining and processing references, as we have a legitimate interest in verifying information relevant to a recruitment assignment
Legal basis for presenting candidate information to our clients, as we and our clients have a legitimate interest in filling positions with suitable candidates
Categories of Recipients
We share relevant information about you with the client who is hiring.
We also share information with suppliers who process data on our behalf and on our instructions.
In some cases we are obliged to share information with public authorities, for example the Danish Tax Agency (SKAT). We may also share information with advisers who are bound by a duty of confidentiality, where we have a legitimate interest or a legal basis for doing so.
If a legal dispute arises, we may be required to share your information as part of those proceedings.
Transfers to Third Countries
We use a number of third-party data processors in connection with our services. Some of these are established outside the EU/EEA, including in the USA.
Where personal data is transferred to a country outside the EU/EEA, the transfer takes place on the basis of the European Commission's Standard Contractual Clauses or, where the recipient is certified under it, the EU-U.S. Data Privacy Framework. Both provide a valid basis for transfer and oblige the recipient to apply a level of protection corresponding to that which applies within the EU/EEA.
We assess each transfer before it is established, and we can provide further information about the processors we use on request.
Retention of Personal Data
We retain your personal data as long as we have a legitimate and relevant purpose for doing so.
In general, we retain personal data for the following periods:
Customer relationships, including case-related material and invoices, are deleted no earlier than five years from the end of the financial year to which the material relates, in accordance with the Danish Bookkeeping Act, Section 10
Personal data linked to profiles in our candidate database is deleted two years after our most recent relevant contact with you, or earlier if you object to the processing and we have no overriding legitimate grounds for continuing it
Recordings, transcripts and summaries of interviews and meetings are deleted two years after the assignment to which they relate has been concluded
Consent declarations are deleted two years after the consent has been withdrawn
Right to Withdraw Consent
You have the right to withdraw your consent at any time. You can do so by contacting us using the details provided in the first section of this privacy policy.
If you withdraw your consent, it does not affect the lawfulness of our processing of your personal data based on the previously given consent before the withdrawal. The withdrawal only takes effect from the time it is made.
Use of Automated tools
We use IT tools, including automated transcription and text summarisation, to support our work. Where we record an interview or meeting, we ask for your consent beforehand. You can decline or withdraw your consent at any time without it affecting your application.
All assessments and decisions concerning candidates are made by our employees. We do not carry out automated decision-making, including profiling, which produces legal effects concerning you or similarly significantly affects you, as described in Article 22 of the GDPR.
Your Rights
Under the GDPR, you have the following rights:
Right of access
You have the right to access the personal data we process about you and to receive additional information.
Right to rectification
You have the right to have incorrect personal data about yourself corrected.
Right to erasure
In certain cases, you have the right to have your personal data deleted before our general deletion period applies.
Right to restriction of processing
In certain cases, you have the right to restrict the processing of your personal data. If you request restriction, we may only process your data – apart from storage – with your consent or for the establishment, exercise, or defense of legal claims, or to protect another person or important societal interests.
Right to object
In certain cases, you have the right to object to our otherwise lawful processing of your personal data. You may also object to the processing of your data for direct marketing purposes.
Where we process your personal data on the basis of our legitimate interests, you can object at any time. We will then stop the processing, unless we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms.
Right to data portability
In certain cases, you have the right to receive your personal data in a structured, commonly used, and machine-readable format and to have it transferred from one data controller to another without hindrance.
